Chart of Accounts

Every entity in Kick comes with a standard Chart of Accounts, designed to map to that entity type's tax form. You can add groups and custom accounts on top of Kick's set.

Go to Accounting → Chart of Accounts in your client's workspace. Kick Chart of Accounts uses this structure:

Assets, Liabilities, Equity, Income, or Expenses. Kick sets this automatically for you.

Type

Kick's types are fixed and set automatically for you (Cash, Operating Expenses, Income, and so on). Add an account or group under a type, or under a group that already sits there, and Kick assigns the type from that location. Drag it to another type in Edit Chart of Accounts to change it.

Group

A group you create under a type. It shapes the report as the sum of the accounts under it. You can't record journal entries to a group, and you can create up to 5 groups for each entity.

Account

A general ledger account. This is where transactions and journal entries post.

Code

The account number is fully customizable and can use digits and letters. Kick automatically assigns a six-digit code based on type as a starting point.

When you use Kick's Chart of Accounts, you work with Kick's accounts. You can rename and archive most of them, and add your own accounts and groups. See Kick Standard Accounts for what you can change.


Edit Chart of Accounts

Click Edit Chart of Accounts in the top right of the Chart of Accounts tab. Changes apply as you make them, so there is no Save button. If the workspace has more than one entity, filter to that entity before you add a group or merge accounts.

In the editor you can:

  • Add an account. On a type or group, click Add account, then enter an account number (optional) and name. Kick assigns the type from that location. Connecting a bank, credit card, or payment processor creates those accounts automatically. You cannot add an account under Uncategorized Income or Uncategorized Expenses.

  • Add a group. On a type or existing group, click Add group and enter a name. The group inherits the type from that location, rolls up the accounts under it, and cannot receive postings. Use the row menu (⋯) to rename or delete a group.

  • Drag to nest, reorder, or change type. Drag an account or group under another group or type. Order is saved and used on Profit & Loss and Balance Sheet.

  • Edit a name or code. Change it on the row, or open the row menu (⋯) and select Edit. Use Revert to default name on a standard account to restore the original Kick name.

  • Archive. Open the row menu (⋯) and select Archive. The account stays in history with an Archived tag and drops out of dropdowns. Use the Account status filter to find archived accounts, then select Enable to bring one back. Rules that point to it apply to transactions that sync after you enable it. You cannot archive a connected bank or credit card (use the Accounts tab) or Uncategorized Income and Uncategorized Expenses.

  • Merge. Open the row menu (⋯) on the account you want to remove, select Merge, and choose the account to keep. Activity moves to the account you keep, including journal entry lines and any opening balance, then the first account is removed. Both must be on the same entity and in the same classification. You cannot merge standard accounts, archived accounts, accounts linked to a bank or credit card, Uncategorized Income and Uncategorized Expenses, or a row that belongs to more than one entity. A locked period or a reconciled destination account can also block the merge.

  • Reassign role. On an account that holds a role with Kick automation, open the row menu (⋯) and select Reassign role. See Kick Standard Accounts.

  • Delete. Open the row menu (⋯) and select Delete. You can delete a standard or custom account if it has no activity. You cannot delete an account that holds a role tied to automations, an account linked to a bank or credit card, or an account that has a balance. Reassign the role first if you need to delete an account that has one. See Kick Standard Accounts.


FAQ

What account types does Kick include?

These types are fixed. Kick sets the classification from the type.

  • Assets: Cash, Accounts Receivable, Inventory, Other Current Assets, Investments, Fixed Assets, Intangible Assets, Other Assets

  • Liabilities: Accounts Payable, Credit Cards, Payroll Liabilities, Short-Term Loans, Other Current Liabilities, Long-Term Loans, Other Liabilities

  • Equity: Equity

  • Income: Income, Other Income

  • Expenses: COGS, Operating Expenses, Other Expenses

How do account numbers work?

Codes are fully customizable and can use digits and letters. Kick assigns a six-digit starting code based on type: Assets start with 1, Liabilities 2, Equity 3, Income 4, Expenses 5, 6, 7, or 9, and Other Income and Other Expenses 8.

To hide account numbers, go to Settings → Accounting and turn off Show account numbers under Preferences.

How do I export the Chart of Accounts?

Set the page the way you want it, then click the download icon and choose CSV or Excel. The file matches what is on the page.

Can I delete a standard account?

Yes, if it has no activity and does not hold a role tied to automations. If it has a role, reassign the role first. See Kick Standard Accounts.

What happens to rules if I archive an account?

Rules that point to an archived account fall back to Uncategorized Income or Uncategorized Expenses, depending on the direction of the transaction. Review your rules before archiving.
