# Report Templates

Set your firm's report standard once, make it the default for every client, and apply exceptions to clients and entities.

A report template sets how your clients' reports look: layout, account visibility, PDF logo and watermark, and number format. Templates stay linked. When you save one, every client using it updates right away, unlike [Chart of Accounts templates](/accountants/firm-templates/chart-of-accounts-templates.md).

The usual setup is to create a template, make it your firm default so every client uses it, then apply other templates to the clients that need something different.

***

### Report templates list

From your organization, go to **Templates → Reports**. **Entities** shows how many entities use each template, including through a client's template or the firm default. **Kick** is Kick's standard format. You can preview and duplicate it, but not edit it.

***

### Create a template

Click **New template**, enter a **Template name** and an optional **Description**, and click **Create**. The template starts with Kick's default settings.

{% embed url="<https://player.mux.com/FiLzZqfSHQkxEJCSqAFr49CPmyPDaanF5tmn3vwzE34>" %}

To start from an existing template instead, hover it and select **Duplicate**.

***

### Edit a template

Hover the template and select **Edit template**. It's the same editor as [Customize Reports](/accountants/reports/customize-reports.md), with a sample company in the preview. Leave **Report** on **Template default** to change every report. To brand reports for every client, check **Firm logo** and add **Firm name** to the **Header** or **Footer**.

Click **Save**. Every client and entity using the template updates right away, except for settings changed on the client itself.

To rename the template, select **Edit details**.

***

### Mark as default

Hover the template and select **Mark as default**. Every client and entity without its own template switches to it right away, and new clients start with it.

***

### Apply a template

Apply a template to clients that need something different from your default.

1. Hover the template and click **Apply**.
2. Check the clients or entities that should use it. Checking a client doesn't check its entities.
3. Click **Save**.

To remove a template, uncheck the row. The client goes back to its own template or your firm default.

The **Overrides** column counts settings changed on each client. Applying a template doesn't remove them. Click the count to review them.

***

### Which template a client uses

The tag next to a template shows how a client got it:

* **Entity default**. Applied to that entity only.
* **Client default**. Applied to the client and its entities.
* **Firm default**. Used by every client and entity without its own template.

An entity's template wins over the client's, and the client's wins over the firm default.

***

### View applied templates

Hover the template and select **View applied**, or click its **Entities** count, to see who uses it. You can apply or remove it from there too.

***

### Manage templates

Hover a template and open its menu:

* **Preview**. See Kick's standard format. Available for **Kick** only.
* **Edit details**. Rename the template or change its description. Not available for **Kick**.
* **Edit template**. Change its settings. Not available for **Kick**.
* **View applied**. See which clients and entities use it.
* **Duplicate**. Start a new template from its settings. Not available for archived templates.
* **Mark as default**. Make it your firm default. Not available for archived templates.
* **Archive**. Stop new applies. Clients that use the template keep it.
* **Enable**. Make an archived template active again.
* **Delete**. Remove it permanently. Works only when no client or entity uses it, so remove it from each one first, or archive it instead.

You can't archive or delete your firm default or **Kick**. To archive or delete your firm default, mark another template as default first.

Organization Owners, Admins, and Managers can manage templates. Managers can apply them only to clients they're assigned to. Members can only see where a template is applied. See [Roles & Permissions](/accountants/managing-clients/roles-and-permissions.md).

### FAQs

<details>

<summary><strong>Does saving a template update my clients?</strong></summary>

Yes, right away, for every client and entity that uses it, including through **Firm default**. Settings changed on the client itself stay as they are.

</details>

<details>

<summary><strong>Do new clients get a template?</strong></summary>

Yes. New clients start with your firm default.

</details>

<details>

<summary><strong>Can one entity use a different template from the rest of the client?</strong></summary>

Yes. In **Apply**, check the entity instead of the client. That entity then ignores the client's template and the client's own settings.

</details>

<details>

<summary><strong>What happens to a client's own changes when I apply a template?</strong></summary>

They stay, and keep winning over the template. To make the client match the template, click its **Overrides** count and reset each setting.

</details>

<details>

<summary><strong>Why can't I check a client in Apply?</strong></summary>

Hover the row to see why. Another firm may manage the client's report templates, you may not have permission for that client, or the template may be archived. Managers can apply templates only to clients they're assigned to.

</details>

<details>

<summary><strong>What happens to clients when I archive a template?</strong></summary>

Nothing changes for them. They keep using it until you remove it or apply another template. You can't apply an archived template to new clients.

</details>

<details>

<summary><strong>Why can't I delete a template?</strong></summary>

It's still applied to a client or entity, or it's your firm default. Remove it from each client in **View applied**, or archive it instead.

</details>

<details>

<summary><strong>Can I edit the Kick template?</strong></summary>

No. Duplicate it to start a template from Kick's standard format, or mark **Kick** as default to go back to it.

</details>

<details>

<summary><strong>Do downloaded reports change when I edit a template?</strong></summary>

No. Files downloaded earlier stay as they were. New downloads use the updated settings.

</details>

<details>

<summary><strong>What does my client see?</strong></summary>

Their reports in Kick and their downloads use the template's settings. They can change settings in their workspace, and their changes win over the template.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.kick.co/accountants/firm-templates/reporting-templates.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
