# Reconcile A/R

Match customer payments to invoices so your receivables stay accurate.

### How it works

When a customer pays an invoice, the payment shows up as a deposit in your bank feed. Reconciling A/R means matching each deposit to the invoice it pays. Once matched:

* The invoice's open amount goes down, and the invoice moves to Paid when nothing is left.
* The deposit takes on the invoice's customer, classes, and income account.
* On the Accrual ledger, the payment clears Accounts Receivable.

Kick suggests matches automatically. You review and confirm them, or find the match yourself.

### Review invoice matches task

On **Plus** and **Advanced**, each entity with an Accrual ledger gets a Review invoice matches task.

It lists every deposit Kick thinks pays one of your invoices. The task reopens whenever new suggestions come in, so you can work through them as part of your close.

Each row shows:

* Suggested match — The invoice Kick found, with the customer and amount
* Suggested accrual ledger — The account the deposit will post to
* Action — What to do next

The Action button changes based on the suggestion:

* Match — Kick is confident. Click to confirm.
* Review — Something needs a look, like a partial payment or several possible invoices. Click to open the match drawer.

Not the right invoice? Hover over the suggestion and click the X to dismiss it, or open the three-dot menu and click Find the match.

To confirm in bulk:

* Confirm selected — Confirm the rows you've checked
* Confirm all — Confirm every suggestion in the task
* Confirm filtered — Appears instead of Confirm all when you've added filters

The header tracks your progress, for example "Confirmed 12 of 30".

### Suggested matches on the Transactions tab

Suggestions also appear on the Transactions tab, for both accrual and cash-only entities. Look for them in the **Match** column. Suggested matches are marked as suggested until you confirm them. If you don't see the Match column, add it from column settings.

**Confirm one suggestion**

Click the suggestion in the Match column. The match drawer opens with the suggested invoice already selected. Click Confirm match.

**Confirm several at once**

1. Select the deposits.
2. Open the bulk actions menu and choose Accept invoice matches.

Kick confirms the suggested invoice match on each selected deposit that has one.

### Match a transaction manually

1. Go to the Transactions tab and click the deposit.
2. In the details panel, click **Find a match**.
3. In the match drawer, switch between Suggested to see Kick's suggestions, and All to search every open invoice.
4. Select one or more invoices. They appear under Matches, and the Difference shows what's left.
5. Click Confirm match.

You can also open the match drawer by clicking the Match column on the Transactions tab.

**Partial payments**

If the customer paid less than the invoice total, match it anyway. The invoice stays Open with the remaining balance, and you can match the next payment to it later.

**Payments larger than the invoice**

If the deposit is more than the selected invoices, click Resolve difference to choose where the extra amount goes before confirming.

When the deposit doesn't exceed the invoices, the button reads Edit allocation instead, and is optional. Use it to adjust how the payment is split across invoice lines.

**Change or undo a match**

Add the Match column to your view, and click on the match preview to unmatch or add additional matches.

From the right panel, click the match icon to open the match drawer.

### What happens when you match

| Invoice | Open amount drops by the payment. The invoice moves to Paid when fully covered. |
| -------------- | ----------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Customer | The deposit takes the invoice's customer. |
| Classes | The deposit takes the invoice line classes. |
| Cash ledger | The deposit is categorized to the income account on the invoice lines. |
| Accrual ledger | The deposit posts to the invoice's Accounts Receivable account. |
| Splits | If invoice lines use different classes or income accounts, Kick splits the deposit so each part matches its line. |
| Locked fields | While matched, the deposit's customer, classes, cash ledger, and accrual ledger can't be edited. Unmatch first to change them, or edit from the invoice directly. |

### Journal entries: accrual vs. cash

**Accrual ledger**

Revenue is recorded when you invoice. The payment clears the receivable.

| When | Debit | Credit |
| --------------------- | ------------------- | ------------------------------- |
| Invoice moves to Open | Accounts Receivable | Income (from the invoice lines) |
| Payment is matched | Cash (bank account) | Accounts Receivable |

After both entries, Accounts Receivable for that invoice is zero, and the income stays in the period you invoiced.

If you mark an invoice Paid without matching a payment, Kick posts Cash on Hand / Accounts Receivable instead. Matching a payment later replaces that entry.

**Cash ledger**

Revenue is recorded when the cash comes in. Invoices don't post anything.

| When | Debit | Credit |
| ------------------ | ------------------- | ------------------------------- |
| Payment is matched | Cash (bank account) | Income (from the invoice lines) |

Matching copies the income account from the invoice lines onto the deposit, so revenue lands in the same accounts the invoice used, in the period you were paid.

### Review your A/R

* Balance Sheet — Accounts Receivable shows your total open balance. Click it to see the entries behind it.
* A/R Aging Summary — Open balances by customer and how overdue they are
* A/R Aging Detail — Every open invoice, grouped by aging bucket
* Invoicing tab — The summary bar and the By customer view show open and overdue totals

If the Balance Sheet and the A/R Aging Summary don't agree as of the same date, look for payments that haven't been matched, or entries posted directly to Accounts Receivable.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.kick.co/accountants/bookkeeping-workflows/invoicing/reconcile-a-r.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
